The Opportunity

As the Executive Assistant to the Company Secretary, you will be responsible for ensuring compliance and facilitating seamless board operations. You will manage a diverse and exciting program of work throughout the year, supporting compliance, legal and corporate governance activities and the wider legal team in day-to-day operations.

In this role, you will work closely with the Company Secretary and interact with various high-level stakeholders, including the CFO, finance, and HR teams. This position is based in our Sydney office.

 

Key responsibilities:

Executive Assistance

  • Provide high-level administrative support to the Company Secretary, including managing schedules, correspondence, and travel arrangements.
  • Organise and coordinate board meetings, AGMs, and other corporate events, ensuring all logistics such as catering and travel arrangements are handled.
  • Assist in invoice processing for the legal team and manage expenses related to board operations.

Company Secretarial Support

  • Assist with legal work for two legal entities, including the preparation and management of documents related to director interest lodgements and ASX compliance.
  • Work closely with the Company Secretary on tasks such as buy-backs, drafting notices, and processing renewals.
  • Support the distribution of board papers using Diligent (board paper distribution), ensuring timely and accurate dissemination to stakeholders including the CFO, finance, and HR teams.
  • Handle regulatory filings such as processing forms for director changes, board changes, and share capital changes.

 

We'd love you to have:

  • Proven experience supporting Executives and Boards of Directors
  • Knowledge of ASX listing rules and compliance requirements.
  • Proficiency in Diligent Board Papers and governance software (e.g. Visio).
  • Previous company secretarial experience, preferably within an ASX listed company.
  • Experience working with high-level stakeholders and managing complex administrative tasks.
  • Exceptional organisational skills and the ability to handle high-volume, deadline-driven work.
  • Experience with MS Office including Excel.
  • Ability to work independently and as part of a team, demonstrating flexibility and adaptability in a fast-paced environment.
