Executive Office Coordinator
Purpose:
The Executive Office Coordinator is essential in ensuring the efficient operation of the Executive Office. Principle functions involve providing a high standard of administrative support and working closely with the Corporate Events Manager to ensure a smooth flow of activities and functionality within the office. Additionally, the role includes coordinating a variety of internal and external events.
Key duties
Executive Office support
- Greet clients and visitors, guiding incoming foot traffic to their designated destinations with professionalism and class.
- Answering and directing phone calls.
- Manage your own and the shared inbox.
- Offering and making refreshments for guests and anticipating the needs of regular guests and clients.
- Developing a professional rapport with regular guests to always ensure their time with us is both productive and enjoyable.
- Placing orders and managing inventory.
Events administration and operational support
- Assisting the Corporate Event Manager in the successful delivery of events for Seven West Media WA.
- Manage event inbox and phone.
- Overseeing event ticketing and distributing event details to attendees.
- Compile reports and documentation via MS Office.
- Assisting with event organisation and coordinate event day requirements.
- Working autonomously on smaller internal events.
General duties
- Utilise your excellent communication skills to build and maintain strong relationships with a variety of internal and external stakeholders.
- Take pride in the office environment.

Experience and requirements
- Demonstrated experience in a similar role, with high-level organisational and administrative skills.
- We are seeking candidates with a strong sense of professionalism, discretion and resilience, who can read the room and navigate diverse dynamics with ease.
- The ability to build and maintain strong relationships, with a collaborative and positive approach, is essential.
- Exceptional attention to detail.
- Excellent communication skills, both written and verbal.
- Excellent problem-solving skills, with the ability to find solutions to complex issues.
- Ability to work independently and as part of a team.
- Due to the 24/7 nature of our business and the tasks and event support this role entails, candidates must be available to work outside of normal business hours.
- Candidates should have a valid driver’s licence and car, and reside within 30 minutes from our Osborne Park location.
- At least 12 months of recent Perth-based experience, and full working rights with no restrictions.
